New Customers

  • Internet bandwidth required?

    In most cases, your internet bandwidth should be sufficient to carry 20 or more phone devices. Each phone only needs 80KB to run.

    Yes, you can transfer your phone number to Voko. Both residential and business numbers, including toll free 800 numbers, all can be transferred.

    The new phone devices are shipped and preconfigured. You only need to open the box and plug into internet.

  • Transfer calls

    1. Answer the call
    2. Press “Transfer” button
    3. Hear dial tone
    4. Enter transfer extension/number
    5. Press “Transfer” button again

  • Forward calls

    Enable Call Forward: Dial *22 from the phone, enter password 777, select 6 “Forward Only” mode.
    Remove Call Forward: Dial *22 from the phone, enter password 777, select 1 “Ring, Forward, Voice” mode.
    Change forward number: Dial *22 from the phone, enter password 777, select 0, enter forwarding number.

  • 3-Way Conference Call

    1. Answer the first call
    2. Press “3-Way” button
    3. Hear dial tone
    4. Enter 3rd extension/number
    5. Press “3-Way” button again to join the calls
    6. Keep doing it for 4-way conference calls

  • Answer calls on another line

    Press *23 plus extension number

  • Record a call (Always)

    Send request to administrator to enable “Always” recording feature.

  • Record a call (On Demand)

    Send request to administrator to enable recording function. Push button on the phone to start recording. Push the same button again to stop recording.

  • Listen to call recording

    Login to account with username and password, go to selected extension, find the call entry, click green arrow play button.

  • Email voice message

    Login to account, select extension number, enter email address and click checkbox to enable voice mail to email.
    Go to phone device to dial *97 to delete the message from server.

  • Check my voicemail

    Voice message light blinks on the phone.
    Press VM button or dial *97 to listen to the message.

  • Call Parking

    1. Answer the call
    2. Put the call on-hold
    3. Press “Park” button
    4. Done (Fast busy tone)
    Note: “Park” button must be configured first.

  • Unpark a call

    1. Pickup handset
    2. Press “UnPark” button
    3. Start talking
    Note: “UnPark” button must be configured first.

  • Setup my voicemail greeting

    • Press *97 from your phone
    • Follow voice prompts
    • Record your personal greeting (Choose Standard greeting, Personal greeting, Absence greeting)

  • Change Forward Number Online

    Login with  (Make sure allow popup if there is any popup blocker)

    Click 3rd tab “IP Centrex” at top
    Click “Extensions” on the left menu list
    Click tool icon for that extension on the right, now you are going to that Extension edit page
    Click 3rd tab “IP Centrex” again on the top
    Click “Simple Forwarding” on the left menu list
    Change existing cell number 19727423123 to new one
    Click “Save” at bottom of the page  (Make sure to allow popup if there is popup blocker)

Troubleshooting

  • No dial tone

    Check internet availability.
    Restart power on the phone device.
    Unplug power for 5 seconds and plug back in.

  • Improve call quality

    Internet connection quality is usually the biggest factor.
    There are several options to improve call quality:

    1. Increase internet bandwidth, make sure upload speed is greater than 2MB (less 5 phones) 3MB for 10 phones.
    2. Verify if there is large download or upload on the same network, like video streaming etc.
    3. Using QoS-enabled router to put phone voice audio on top of the priority network transferring.
    4. Use a quality headset

Fax

  • Use existing fax machine

    Order an analog telephone adapter (ATA) device.
    Connect ATA device to internet using LAN port.
    Connect fax machine to ATA device telephone port

  • Send e-fax

    Enter email address to allowed fax sender’s list.
    Send an email with fax paper as an attachment.
    Email address format – fax##########@titaniumvfax.com where ########## = destination fax number For example, to fax to 6263070684,\ send email with attachment to: fax6263070684@titaniumvfax.com

    Valid attachment types are PDF, DOC, DOCX, XLS, XLSX, RTF, PPT, PPTX, and TIFF (Fax-formatted)

  • Receive e-fax

    Enter receipt’s email address from account web page.
    Receive fax as PDF attachment in email.

  • Fax machine Setup

    1. Reduce fax speed to 9600 BPS baud rate.
    2. Disable Error Correction Manager (ECM) from fax machine.
    3. Enable “Internet fax” function from fax machine.

Setup & Install

  • Onboard new customer

    Fill new customer information sheet, Voko will assignment account onboard manager to manage new account Setup, phone devices configuration, shipping, and installation.

  • Enter company info

    Voko onboard account manager updates customer company data based on “New Customer Information” sheet.
    Information include: company name, address, tax id, contact phone, email, billing email, music on-hold file, etc.

  • Setup users

    Fill extension information, emails on “New Customer Information” sheet. Voko onboard account manager helps to configure the users.

  • Setup groups

    Fill extension information, emails on “New Customer Information” sheet. Voko onboard account manager helps to configure the groups.

  • Install a new phone device

    Open shipped phone device from the box. Setup handset, base.
    Plug network cable to “LAN” port.
    Plug in power adapter.

  • Use POE switch

    Power over Ether (POE) switch is combo of a network switch with 24VDC delivering through the same network cable. Using POE switch will avoid to use power adapter for the phone. It makes cabling job significant easier, for example for the conference room phones, overhead paging speakers and surveillance cameras.

  • Install SIP trunk device

    Open shipped ATA device box.
    Plug network cable to “LAN” port.
    Plug in power adapter.

  • Configure a phone device

    The steps to configure a phone device are different for various model phones. The following provides a few examples for several model phones, like Grandstream, Polycom, etc.
